MaintainX Pricing (2026): What Each Plan Costs, and What You Get for the Price
MaintainX publishes four pricing tiers, from free to enterprise. The headline numbers are straightforward. What takes more digging is understanding what each tier actually delivers, where the gaps appear as your operation grows, and whether the per-user cost model makes sense at scale.
This blog covers all of that, with honest comparisons where relevant.

All prices are per user, per month, billed annually unless stated.
Requester accounts, for people who only submit work requests, are free on all plans.
MaintainX Cost: Plan-by-plan breakdown and where each one runs out
a) Basic – Free
The free plan is pretty decent for small teams moving off paper. Unlimited work orders, asset management, and real-time messaging at no cost is a strong entry point.
But the limits appear quickly: 2 active repeating work orders, limited PM templates, and only 1 month of analytics history. If you are managing more than a handful of assets or need any kind of trend reporting, you will hit the ceiling within weeks.
Facilio equivalent: Facilio does not offer a free tier, it is built for enterprise operations from the start. If free is the primary requirement, MaintainX Basic is a reasonable starting point.
b) Essential – $20/user/month
The Essential tier unlocks unlimited repeating work orders and 3 months of analytics. For a team of 5 to 10 people managing a single site, $100 to $200 a month is reasonable. The gap at this tier: no inventory management, no purchase orders, no API access. Any team that needs to track parts or connect MaintainX to another system has to move up, which means tripling the per-user cost.
Facilio equivalent: At Facilio, inventory, vendor data, and integrations are part of the connected data model, not tiered behind a per-user price jump.
c) Premium – $65/user/month
This is where most mid-market teams land. Parts and inventory, purchase orders, REST API, full analytics, time and cost tracking, and external work orders are all included. For a maintenance-centric team, Premium covers most day-to-day needs well. The cost jump from Essential ($20) to Premium ($65) is significant, 225% per user. At 20 users, you go from $400/month to $1,300/month for the upgrade. That is a meaningful budget decision, not a minor step up.
AI-powered procedure generation is available at this tier, helping technicians draft procedures faster. The AI is assistive: suggestions are surfaced, a human acts on them. No workflows run autonomously at any MaintainX tier.
Facilio equivalent: Facilio's AI agents, Mira for help desk intake, Luca for invoice validation, the Compliance Agent and Reporting Agent, execute full workflows autonomously. No one has to act on a suggestion. The work gets done.

Multi-site management, IoT sensor integrations, SSO, advanced security, Report Builder, Global Parts, Global Procedures, and MaintainX CoPilot are all behind the Enterprise tier. Pricing is not published. This is where the per-user model becomes a real conversation: for teams with 50 to 100+ users across multiple sites, the cost trajectory is significant.
Worth noting: even at Enterprise, MaintainX does not include contract governance, invoice validation, tenant portals, or autonomous AI. These are not missing features; they are not part of what MaintainX was built to do.
Still missing at Enterprise: Contract governance, invoice validation, tenant service intake, energy management, autonomous AI workflows, none of these exist at any MaintainX tier.

The per-user model is accessible when you start. It becomes expensive as you grow.
These figures are for licensed users only: vendors, contractors, or stakeholders who also need system access add to the count.
Is MaintainX worth the cost? An honest assessment
The answer depends on where your operation is.
For single-site maintenance teams in manufacturing, food production, or hospitality: MaintainX delivers real value at the Essential and Premium tiers. The mobile UX, operator rounds, and built-in messaging are genuinely strong. The cost is reasonable for teams under 25 users.
For multi-site FM operations and enterprise portfolios: the value proposition gets harder to defend. At $39,000+/year for 50 users on Premium, you are paying a significant amount for a platform that still cannot validate invoices, handle tenant service intake, manage contracts, or run any AI workflows autonomously. You end up paying for a CMMS and manually handling everything around it.
The ROI question: Facilio's Invoice Validation Agent alone eliminated 70+ FM hours of manual reconciliation per month at Charter Hall.
At a conservative rate, that is the cost of a platform subscription recovered in operational savings. MaintainX does not have an equivalent feature at any tier.

If your team is on MaintainX and not ready to migrate, there is still a meaningful option: Facilio's AI agents can operate alongside your existing MaintainX setup, handling the workflows MaintainX cannot.
Specifically: helpdesk intake, invoice validation, compliance tracking, and automated reporting can all run via Facilio's Atom agents without requiring a full platform switch. Your technicians stay on MaintainX. The back-office coordination overhead gets handled autonomously.
We have written about this in detail: How Facilio's AI agents work on top of MaintainX. It is worth reading if you are invested in MaintainX but finding the operational gaps are growing.

1. How much does MaintainX cost?
MaintainX has four tiers: Basic (free), Essential ($20/user/month billed annually), Premium ($65/user/month billed annually), and Enterprise (custom). Requester accounts, for people who only submit work requests, are free on all plans.
2. Is MaintainX free?
Yes, there is a free Basic plan with unlimited work orders and basic asset management. It is genuinely functional for very small teams. The free plan does not include inventory management, purchase orders, API access, or advanced analytics, all of which require paid tiers.
3. What is included in MaintainX Premium?
Premium ($65/user/month) includes everything in Essential plus parts and inventory management, purchase orders, REST API access, full analytics, time and cost tracking, a dedicated account manager, external work orders. Multi-site tools and IoT integrations are not included, these require the Enterprise tier.
4. What does MaintainX not include at any price?
Contract governance, invoice validation, tenant or occupier-facing service portals, autonomous AI workflows, and energy monitoring are not available at any MaintainX tier. These are architectural gaps, not missing features that a higher tier unlocks.
5. How does Facilio pricing compare to MaintainX?
Facilio prices on a portfolio basis, by square footage or number of sites, rather than per user. For large teams, this model is more predictable: headcount changes do not directly drive platform cost. Facilio also includes vendor management, AI agents, and tenant portals as part of the base platform rather than requiring add-ons.

6. Is MaintainX worth it for enterprise FM?
At a small to mid-market scale, yes.
But at an enterprise scale, multiple sites, vendor relationships, compliance requirements, and autonomous AI on the requirements list, the per-user cost compounds and the platform gaps become operational constraints.
