AI voice agent: Asking for a missing site before logging it

When a caller leaves out a detail, the AI voice agent asks for it before raising the work order. See how it handles the call.

The caller forgets the one thing a work order can't go without: the site. Rather than guess, the AI voice agent asks once, adds a safety check, and only then raises the job.

  • The call. A distribution board on level 3 keeps tripping, but the caller doesn't say which building.
  • One question. The agent creates nothing yet. It asks for the site, and whether there's any burning smell, heat or sparking.
  • The work order. With the site confirmed, it logs work order 28, priority high, and tells the caller to keep the panel closed.
  • In Facilio CMMS. The description has the two resets and the safety answer, and the transcript shows the job was created only once the site was confirmed.

Transcript

  1. From a phone call to a closed job. Here, the caller forgets the one thing a work order can't go without, and the helpdesk closes that gap without a form. 7:40. David calls about North Tower, but he doesn't say so.

  2. Facilities helpdesk. How can I help?

  3. Hi, it's David Harris again. The main distribution board on level 3 keeps tripping. We've reset it twice, but it keeps going off.

  4. No site. The agent doesn't guess, and it creates nothing yet.

  5. Thanks, David. So, I can log this correctly. Could you please tell me which site or building this is at? And is there any burning smell, heat, or sparking at the board?

  6. It's at North Tower, level three. No smell, nothing like that. It just trips.

  7. Thank you. I've logged a tripping main distribution board at North Tower, level three, priority high. Your reference is work order 28. Please keep the panel closed until the technician arrives. One question asked once, the missing site, plus a safety check. A conversation, not a menu, and the same way the agent asks on email.

  8. Work order 28 is in Facilio CMMS above 27 North Tower, level 3. The description has the two resets and the safety answer. And the transcript shows the work order was created only once the site was confirmed. One question from the agent instead of a half-filled job. That's the difference between a work order and a follow-up call.

What it takes off your team

  • No half-filled work orders
  • A safety check as part of the call
  • No follow-up call to chase the missing detail
