Hotel Maintenance Checklist
A hotel maintenance checklist template for the engineering side of a hotel, guest rooms included. Every room out of order is a room rate nobody collects tonight, so the defect list is priced in room nights rather than labor hours, and the argument for fixing something writes itself on the page rather than in a meeting.
- Rooms out of order priced in nights lost times the rate
- A guest room engineering pass, explicitly not the clean
- Guest room smoke detection checked hardest of all
- Hot water arrival time treated as a distribution question

Who this hotel maintenance checklist is for
One hotel, four people, and only one of them thinks in room nights.
The maintenance technician
Seventeen engineering checks in a guest room and twelve in the bathroom, with a defect column rather than a comment box, because the next person needs a status not a paragraph.
The general manager
Rooms out of order and revenue lost. It is the only maintenance figure that appears in the same units as everything else they are measured on.
The room attendant
The connection between this document and the clean. They are in every room every day and will see a fault long before the engineering pass comes round.
Whoever answers for life safety
Section six, and guest room detection above all of it, because rooms are the only part of the building where people are asleep.
Where rooms are the product
The structure suits any property selling overnight accommodation. What changes is the rate and how quickly a room out of order hurts. If you run one of these, the sector page goes further than the template does.
- Retail and malls
Hotels inside mixed-use and retail schemes, where the engineering team also carries public areas and back of house.
Retail maintenance software - Commercial real estate
Serviced apartments and aparthotels, where a unit out of order is a longer booking lost rather than a single night.
Portfolio maintenance software - Corporate facilities
Staff accommodation and corporate lodging, maintained by a team whose main responsibility is the office next door.
Corporate facilities software - Education
Campus accommodation running as a hotel out of term, where the maintenance window and the trading window are the same weeks.
Campus maintenance software - Healthcare
Patient and visitor accommodation, where room availability is a clinical service rather than a commercial one.
Healthcare maintenance software - FM service providers
Contracted hotel engineering, where the room nights lost are the client's number and the labor hours are the contractor's.
FM service provider software
What a hotel maintenance checklist should cover
A hotel maintenance checklist is the engineering record for a hotel, guest rooms included. It covers the guest room and bathroom as an engineering pass rather than a clean, the guest-facing areas, back of house and plant, and life safety, then prices every room out of order as nights lost against the room rate.
A. Rooms, areas, plant, and what it costs
| Field | What goes in it | Why it earns its place |
|---|---|---|
| Property details | Keys, floors, facilities, and the average daily rate | The rate is the field everything else depends on. Without it, nothing on this document converts into the units a hotel is actually run in. |
| Guest room engineering | Seventeen checks from the electronic lock to the flooring | Explicitly not the clean. Door seal and acoustic performance from the corridor is here because noise is a complaint nobody can fix after check-in. |
| Air conditioning and thermostat | Cooling and heating to setpoint, filter condition, condensate drain clear | A room that will not hold temperature is a room that will be moved out of, and the move happens at eleven at night when there is nothing to move into. |
| In-room equipment | Safe reset to the house code, minibar silent, appliances tested | The safe and the minibar are on this list because they fail silently and are discovered by the guest rather than by anybody who works there. |
| Guest bathroom | Twelve checks including hot water arrival time | Hot water reaching the tap within the standard time, which is the commonest guest complaint a hotel never fixes because every report looks like one room. |
| Guest-facing areas | Twelve checks from entrance doors to Wi-Fi coverage | Lifts with the emergency phone tested, because it is the one piece of equipment in a hotel that will be used by somebody who is already frightened. |
| Back of house and plant | Nine checks across kitchen, laundry, boilers, chillers and intake | The plant that fails here takes out rooms, a restaurant and a laundry together, which is why it is on the same document as the rooms. |
| Life safety and compliance | Twelve checks from the alarm panel to pool water records | Includes fire doors not wedged and the evacuation plan displayed in every room, both of which drift constantly in an operating hotel. |
| Guest room smoke detection | Tested on cycle, every room | The line to check hardest. Rooms are the only part of a hotel where people sleep, and a detector isolated during a refurbishment and never reinstated is a known recurring failure. |
| Rooms out of order | Room, reason, out from, expected back, nights lost, rate and revenue lost | The table that does the arguing. A room out for two weeks waiting on a part is not a backlog item, it is a line on the P&L. |
| Defect priority | Urgent, High, Medium or Low, spelled exactly that way | Anything taking a room out of order or affecting life safety is Urgent, which removes the judgment call from the person least able to make it at the time. |
| Position | Rooms checked, rooms with a defect, rooms out of order and revenue lost | Rooms with a defect as a share is the operational number; revenue lost is the one that gets the part ordered. |
A hotel is the one building type where the cost of a maintenance failure is already denominated in a number the whole business runs on, and most maintenance reporting throws that advantage away. In an office a broken air conditioning unit produces discomfort and complaints that nobody can price; in a hotel it produces a room that cannot be sold, and a room that cannot be sold has an exact value which everybody from the duty manager to the owner already understands. Reporting that failure as a job, a trade and an estimate of labor hours translates it out of the language the business thinks in and into one only the maintenance department uses, which is precisely why maintenance budgets in hotels are so hard to defend. Reporting it as eight nights at the prevailing rate does the opposite: it arrives already converted, requires no advocacy, and makes the comparison with the cost of the fix immediate and obvious. The template therefore asks for the average daily rate in the property details, at the top, before any check at all, and the rooms out of order table multiplies nights lost by that rate without anybody having to do it. The second thing worth being deliberate about is what this document is not. It is not the clean. The two passes happen on different cycles, by different people, with different training, and conflating them produces a list so long that neither gets done properly. What they must do is connect, because the room attendant is in every room every day and the engineering pass is not, which makes housekeeping the most effective fault detection system a hotel has and the one most often given nowhere to report to.
B. What it looks like filled in
One month on a 48 room property. Eleven rooms carried a defect and three of them could not be sold.
| Line | Value |
|---|---|
| Rooms checked, with a defect | 48 checked, 11 with a defect |
| Defects by priority | 2 urgent, 6 high |
| Rooms out of order | 3 |
| Nights lost, average rate | 14 nights at 145 |
| Revenue lost | 2,030 |
| PM complete, life safety open | 92 percent, 0 open |
Fourteen nights at a rate of 145 is 2,030, and that figure is the entire reason this document is laid out the way it is. Everything above it is ordinary: eleven rooms out of forty eight carrying some defect is a normal month in an operating hotel, most of those defects are minor, preventive maintenance is running at ninety two percent and nothing is outstanding on life safety, which is the one line that would change the character of the report completely. Three rooms could not be sold, for fourteen nights between them, and at the house rate that is 2,030 of revenue the hotel did not collect. Presented as three open jobs it is a maintenance backlog item competing with everything else on a list. Presented as 2,030 it is a number the general manager can set directly against the cost of a part, an engineer's overtime or a contractor call-out, and the decision usually makes itself. The same arithmetic works at room level: one room out for eight nights is 1,160, which is frequently more than the repair that would have returned it on day two. The two urgent defects are urgent by definition rather than by judgment, because anything taking a room out of order or affecting life safety is graded Urgent on this document. The clean that happens in those same rooms every day is the housekeeping checklist, with the method behind it in the housekeeping SOP, and a report of bed bugs in any of them goes on the bed bug inspection form rather than here.
Word for the version an engineer takes round the rooms, Excel for the one that multiplies nights lost by the rate and holds a Period Log of rooms out of order and revenue lost across a quarter, and PDF for the copy that goes to the general manager. Free, and yours to rebrand.
How do you run hotel maintenance on a guest room?
Write the rate down first, then everything else converts itself. Six steps.
Record the average daily rate before anything else
Everything on this document that takes a room out of service has a price, and without the rate none of it converts into the units the hotel is run in.
Run the guest room as an engineering pass
Seventeen checks, and not the clean. Lock, air conditioning, thermostat, lighting, sockets, safe, minibar, window restrictor, curtains and finishes.
Time the hot water in the bathroom
Not just the temperature. Slow arrival at the furthest rooms is a distribution problem that looks like a single-room fault on every individual report.
Check guest room detection hardest of all
Rooms are the only part of a hotel where people sleep, and a detector isolated during a refurbishment and never reinstated is a known recurring failure.
Price every room out of order
Nights lost times the rate, per room. A room waiting two weeks on a part is a line on the P&L rather than a job on a list.
Grade anything taking a room out as Urgent
Along with anything affecting life safety. Removing the judgment call means it is not made at midnight by whoever is on.
The engineering pass versus the housekeeping clean
Two passes through the same guest room, on different cycles, by different people. The hotel needs both and keeps conflating them.
| Aspect | The engineering pass | The housekeeping clean |
|---|---|---|
| How often | On a maintenance cycle | Every day the room is sold |
| Who does it | A technician | A room attendant |
| What it tests | Does it work | Is it presentable |
| What it finds | Faults, before the guest | Faults, the moment they appear |
| What it produces | A defect list with a price | A report to somebody else |
| If they are merged | The list is too long to finish | Neither gets done properly |
The room attendant is the most effective fault detection system a hotel owns, and in most hotels there is nowhere for them to report to. They are in every sold room every single day, they notice the lamp that does not work, the socket that is loose, the extract fan that has gone quiet and the grout that has started to go, and they notice all of it weeks before any maintenance cycle comes round. What usually happens to that information is nothing, or a verbal mention to a supervisor, or a note on a sheet that reaches engineering after the guest has already complained. Keeping the two documents separate is right, because merging them produces a checklist so long that an attendant cannot finish it in the time a room turn allows and a technician spends their day checking things that are not engineering. But separate is not the same as disconnected, and the connection between them is worth building deliberately: a route by which a room attendant can raise a fault against a room number in seconds and see that it was picked up. Done properly it turns a daily presence into continuous monitoring and shortens the gap between a fault appearing and being fixed from weeks to hours, which on this document shows up directly as fewer nights lost. The clean itself is the housekeeping checklist and the method behind it the housekeeping SOP; the hot water distribution problem that this page keeps pointing at belongs to the commercial water heater maintenance checklist, and the wider property walk is the building maintenance checklist.
When the template starts to feel limiting
The file holds one period well, and a hotel runs continuously. Four things get difficult.
Rooms out of order are counted at period end
The revenue is lost while the room is out, not when the report is written, and two weeks has passed before anybody totals it.
Housekeeping has nowhere to report to
The room attendant sees the fault first and the engineering pass sees it weeks later, and the gap between those two is nights lost.
The quarter needs assembling
Rooms out of order and revenue lost across three months is the only maintenance report an owner reads twice, and on paper it is three sheets added up by hand.
Detection isolations are invisible
A detector isolated during works and never reinstated does not announce itself, and the only thing that finds it is the next cycle test.
What running this in Facilio looks like
The pass does not change. What changes is that a fault reaches engineering the day it appears.
Work Order Intelligence
Housekeeping raises faults directly
A room attendant reports against the room number and it becomes a job, which is the shortest route there is between a fault appearing and being fixed.
Ops Performance Intelligence
Revenue lost totals itself
Nights out of order against the rate, accumulating across the period rather than being added up after it.
Asset Intelligence
Room history builds up
A room with three defects in a quarter is a refurbishment candidate rather than three unrelated jobs, and that only shows against the room.
Audit Report Intelligence
Life safety tests stay evidenced
Guest room detection tested on cycle, logged against the room, which is the form the question takes after an incident.
Hallucination-free by design. Atom AI answers from the records in your tenant rather than generating plausible text, so an empty field reads as empty rather than filled in for you.
Frequently asked questions
What is a hotel maintenance checklist?
It is the engineering record for a hotel, guest rooms included. This one carries seventeen guest room checks, twelve in the bathroom, twelve guest-facing areas, nine back of house and twelve on life safety.
It also prices every room out of order as nights lost against the room rate, so the defect list reads as revenue rather than as a job queue.
Why price maintenance in room nights?
Because it is the unit the whole business already runs on. A room that cannot be sold has an exact value that everybody from the duty manager to the owner understands immediately.
Reported as labor hours the same failure has to be translated and advocated for. Reported as fourteen nights at the house rate it arrives already converted.
Is this the same as a housekeeping checklist?
No, and keeping them apart matters. This is the engineering pass: does the lock work, does the air conditioning hold setpoint, does the hot water arrive. The clean is a different document on a different cycle.
They have to connect, though, because the room attendant is in every sold room every day and will see a fault long before the engineering pass comes round.
Which line should be checked hardest?
Guest room smoke detection. Rooms are the only part of a hotel where people are asleep, which changes what a detection failure means.
A detector isolated during a refurbishment and never reinstated is a known and recurring failure, and nothing about the room reveals it.
Why time how long hot water takes to arrive?
Because slow arrival at the furthest rooms is the commonest guest complaint a hotel never fixes. Each individual report looks like one room with a problem.
Seen across the floor plan it is a distribution issue, usually the secondary return, and it is solved once rather than apologized for nightly.
What makes a defect Urgent?
Anything that takes a room out of order or affects life safety, by definition rather than by judgment.
That removes the decision from whoever is on duty at midnight, which is exactly the moment the judgment is hardest to make well.
What should the report to the owner contain?
Rooms out of order and revenue lost across the period, above everything else. It is the only maintenance report in a hotel that gets read twice.
Rooms with a defect as a share of rooms checked is the operational companion to it, and preventive maintenance completion is the leading indicator behind both.
Does this cover the restaurant and the pool?
The plant does. Kitchen equipment and extraction, laundry, boilers, chillers and pool plant sit in the back of house section, and pool water testing records appear under life safety.
The pool's own operating regime is a separate document, since water chemistry, turnover and suction outlet covers need their own checklist.
In one paragraph
A hotel maintenance checklist works when every room out of order is priced in nights lost against the room rate, because that is the only form in which a maintenance budget gets approved in a hotel. Run the guest room as an engineering pass rather than a clean and connect it to housekeeping, who are in every sold room daily. Check guest room smoke detection hardest of all, time how long hot water takes to arrive rather than only its temperature, and grade anything taking a room out of order as Urgent.
A room nobody can sell tonight
Write the rate down, run the engineering pass, time the hot water and check the detection hardest. Once revenue lost is only totaled after the period, or housekeeping has nowhere to report a fault they saw three weeks ago, the paper version has reached its limit.
