The person doing the walk
You work down the elements in order and rate what you actually see. The note column matters as much as the rating, because a location written down now is the difference between a work order and a second visit to find the thing again.
The building or estates manager
You get a condition score and a remedial figure from one morning. The seasonal section is yours: it separates work that has to happen before the weather turns from work that can wait for the next budget round.
The budget holder
You are handed a number rather than a narrative. Spend per unit of area is the line that lets you compare this building against the others without knowing anything about its roof.
Whoever inherits the building
A run of walks is the only record of how the fabric has moved. A single walk describes a moment; four of them describe a direction, which is what a condition survey costs real money to tell you.

What a building maintenance checklist should contain
A building maintenance checklist is a condition walk of a whole building, recorded element by element with a rating rather than a tick. It covers the roof, the envelope, the grounds, interior fabric, the visible condition of building systems and life safety, then prices every defect found so the walk produces a figure.

The single most important instruction in the file is to rate rather than tick, and it is the one people quietly ignore. A tick box records that somebody stood in front of the element. A rating records what they found, and only a rating can be compared with the last walk or with another building. The moment the column becomes Good, Fair or Poor, the walk stops being an attendance record and starts being a condition survey that you did not pay a surveyor for. The second instruction that matters is to put a cost against every defect, even a rough one. Estates teams routinely lose budget arguments to teams with worse buildings and better numbers, because a list of described problems reads as opinion and a list of priced problems reads as a plan. Ratings must be spelled exactly, because the summary counts them.

Two of these five lines are one defect, and the walk is the only thing that would have shown it. The failed gutter joint on the roof and the stained ceiling tiles on level 2 are the same water, recorded two sections apart by the same person on the same morning. Repair the ceiling on its own and it stains again by spring. That is the argument for walking a building as a whole rather than responding to the tickets it generates, because the ceiling is what gets reported and the gutter is what is wrong. The money is worth reading too. Three of the five are Urgent and together they come to a thousand, while the single largest line is Planned and can wait for the next cycle. Priority and cost are separate columns precisely because the expensive thing and the urgent thing are usually not the same thing.

How do you run a building condition walk?
Walk it in the order the file is written, which is roughly the order water travels. Rate as you go rather than writing notes to rate later. Six steps.
Set the building up, including its area
Building name, type, gross area, the season and who is walking it. Area is needed for the spend per unit of area figure at the end, and it is the field most often left until it is too late to find.
Start at roof level
Covering, flashings, outlets, downpipes, rooflights, access, roof mounted plant and lightning protection. Eight elements, and the section with the highest chance of explaining a problem somebody reported inside the building.
Work the envelope, then the grounds
Walls, glazing, doors, sealants and coatings, then surfaces, drainage, boundaries, planting and winter readiness. These are the elements that decide whether water and people get where they should not.
Come inside for fabric, systems and life safety
Floors, ceilings, doors, stairs and washrooms, then the visible condition of plant and distribution, then the life safety items a walk can genuinely verify. Rate the visible condition only and hand anything deeper to the right checklist.
Write up every defect with a location and a price
Element, what is wrong, exactly where, the rating, the priority and an estimated cost with a target date. A rough cost is worth far more than a blank cell, and a location is what stops the next visit being a search.
Separate the seasonal work and set the next walk
Pull out what the weather decides, send the rest to the planned program or the capital plan, then put a date on the next walk. A single walk is a snapshot and a run of them is an asset.

A completed tick sheet and a completed rating sheet look identical from a distance, and only one of them is worth keeping. Two years of tick sheets tell you the walks happened. Two years of rating sheets tell you the envelope went from Good to Fair while the roof held, which is a capital planning conversation that starts itself. If the walk is already being done, the rating column costs nothing extra and is the only part that compounds.
When the template starts to feel limiting
The file is built for one building walked repeatedly. Four things start to hurt as soon as that is not the shape of the problem.
One file per building, and a portfolio of them
The structure that makes a single building readable is the one that makes the estate unreadable. Asking which buildings have an Urgent life safety defect open means opening all of them.
Defects with target dates nothing is watching
A target date in a spreadsheet does not chase anybody. The defect list is only as good as whoever remembers to reopen the file the week it is due.

A defect becomes a work order because a person retypes it. The two records then drift, and the walk stops being able to say what was actually fixed.
Photographs live somewhere else

What is the difference between a building maintenance checklist and a facility maintenance checklist?
This one is organized by what the building is made of and rates its condition. A facility maintenance checklist is organized by how often a check falls due, daily through annual, and records whether the routine was completed.
They answer different questions and most estates need both. The condition walk tells you what the building needs money for. The facility checklist tells you whether the day to day routine is actually happening.
Should a condition walk cover plant and equipment?
Only what is visible. This template deliberately limits the building systems section to what somebody can see on a walk: housekeeping in the plant room, panel covers in place, visible corrosion, insulation, lift ride quality and whether certificates are present and in date.
Anything requiring a test instrument, an isolation or a specialist belongs on its own checklist. The walk's job is to notice and hand over, not to inspect.
Why price the defects rather than just list them?
Because a list of described problems reads as opinion and a list of priced problems reads as a plan. Estates teams routinely lose budget arguments to teams with worse buildings and better numbers.
The estimate does not need to be accurate to be useful. A rough figure against every line produces a total for the building and a spend per unit of area, and those two numbers are what allow this building to be argued against another one.
What does spend per unit of area actually tell you?
It normalizes the remedial figure so buildings of different sizes can be compared. A twenty thousand remedial total means nothing on its own, because it may be a small building in trouble or a large one in good order.
Divided by gross area it becomes a rate, and a rate can be ranked. It is the figure that survives a portfolio budget conversation when a defect list does not.
Who should carry out the walk?
Somebody who knows the building and can be consistent, which matters more than formal qualification for most of the elements here. Consistency is the point: the same person rating the same elements the same way is what makes two walks comparable.
The life safety section is the exception in one direction and the systems section in the other. Life safety items here are deliberately ones a non specialist can verify, and anything beyond visible condition on plant should be handed to whoever is competent to test it.
Does this replace a condition survey?
No, and it is not trying to. A formal condition survey is carried out by a surveyor, covers element life expectancy and produces a costed forward maintenance plan over a long horizon.
What this does is keep the picture current between surveys, at no cost, in a form the survey can pick up. A run of quarterly walks is also the best possible brief for a surveyor, because it tells them where the building has actually been moving.
