Who this cleaning work order is for

Four people read this document, and each of them wants a different line out of it.

  • Cleaning supervisor

    You are answering whether the round was completed to specification. The inspection scores and the fail points are what tell you that, because the task ticks only tell you somebody was there.

  • Facilities manager

    You are answering whether the building is acceptable to the people in it. Scores by area over time show you which spaces are consistently failing, which is where the specification or the hours are wrong.

  • Cleaning operative

    You are the one filling it in, usually against the clock. The minutes column protects you: it shows that the round was specified for less time than it takes.

  • Client or contract manager

    You are checking that you are getting what you pay for. Minutes on the round, the consumables total and the re-check column are the three entries you look at first.

Which field matters the most in your sector

The document is the same shape everywhere. What changes is which field carries the weight, and that is usually the one your client or your auditor asks about first. If you clean one of these, the sector page goes further than the template does.

What a cleaning work order should include

A cleaning work order is the record that authorises a cleaning round and documents what was done in each area, how long it took, and how the result scored on inspection. It names the areas, records the tasks completed and the operative, captures the inspection score and any fail points, and logs consumables and chemicals used.

If you cut the form down, keep the inspection score separate from the task tick. Those two columns answer different questions, and collapsing them is how a building ends up signed off as cleaned and visibly not clean. The tick says somebody attended. The score says whether it worked.

How do you fill in a cleaning work order?

Fill it in as the round happens, and score after you clean rather than while you clean. Six steps, and the fourth is the one that makes the document worth keeping.

  1. Set the shift and the service type before you start

    Daily, periodic, deep or reactive, with the round reference. This is what the round will later be judged against, so it should not be decided afterwards.

  2. Work each area and mark every task column

    Tick what was done, dash what does not apply to that area, and leave nothing blank. A blank means nobody has said whether it happened.

  3. Name the cleaner and the minutes for each area

    Not for the round. Time attributed to areas is what shows whether the specification can actually be delivered in the hours bought.

  4. Inspect and score each area honestly

    One to five, with the fail points written as specifics rather than as a general impression. A round that scores five everywhere every day is a round nobody is inspecting.

  5. Write the action required, then re-check it

    A fail point without an action is an observation. Mark the re-check when it is done, on the same sheet, the same shift where possible.

  6. Log consumables and chemicals

    Every item issued with the area it went to, then every product used with its dilution, the area applied to and the PPE worn. Close with the supervisor sign-off.

The task columns are the checklist. What the work order adds is the time, the cost and the score, which is what turns a confirmation that somebody attended into evidence about whether the specification is right.

When the template starts to feel limiting

A form handles one round well. It handles a contract badly, and the failure modes are consistent.

  • There is no version control

    Somebody revises the area list, prints it, and two specifications are in use in the same building. Nothing tells you which round was cleaned to which.

  • Periodic work is not scheduled

    Deep cleans and periodic tasks recur monthly or quarterly. A round sheet records what happened today; nothing warns you the quarterly carpet clean is overdue.

  • Scores cannot be trended

    A score of three means something only next to the same area last month. On paper that comparison is a folder search, so nobody makes it and the scoring stops mattering.

  • You cannot see the building

    One sheet covers one round. Which area fails most often, and which shift produces the most re-checks, exist only across rounds.

What is a cleaning work order?

A cleaning work order is the record that authorises a cleaning round and documents what was done in each area, who did it, how long it took, and how the result scored on inspection. It also captures the consumables issued and the chemicals used at what dilution.

It differs from a general maintenance work order in being organised by area and in carrying a quality score. Cleaning is judged on how a space looks, not on whether an asset works.

What should a cleaning work order include?

At minimum: a unique work order number, the date and shift, the building and floor, the round reference, the service type, the supervisor, the scheduled start and finish, an area-by-area task record naming the cleaner and the minutes spent, an inspection score per area with fail points and the action required, a re-check column, consumables restocked, the chemical record with dilutions and PPE, and the supervisor sign-off.

Why score inspections separately from the task ticks?

Because they answer different questions. The tick records that a task was performed. The score records whether the area is acceptable to the people who use it.

Collapsing them is the reason buildings get signed off as cleaned while visibly not being clean. Keeping them apart is what makes the document worth reading.

What does a good inspection score look like?

Varied. A round that scores five in every area every day is a round nobody is inspecting, and the scoring has become a formality.

A useful score carries specifics: not four out of five, but three because the mirrors are streaked and a dispenser is empty. Those specifics are what the action column is written from.

Why record minutes per area rather than for the round?

Because the total tells you nothing about whether the specification is deliverable. An area consistently cleaned in half its allotted time is either overspecified or not actually being cleaned.

It is also the fairest protection for the operative, because it evidences a round that was sold for less time than it takes.

What is the difference between a cleaning work order and a cleaning checklist?

The checklist confirms that a defined list of tasks was performed. The work order records the round with its time, its cost and an inspected result.
