What a landscape work order should include

A landscape work order is the record that authorises a grounds maintenance visit and documents what was done in each area of a property. It names the zones, records the conditions on arrival, logs the tasks completed and the crew hours spent per zone, and captures the chemical applications made during the visit.

A form that says the site was mown cannot answer it. A form showing the north edge was mown, noted as mossy, and flagged for treatment, answers it before it is asked.

How do you fill in a landscape work order?

Fill it in the order the visit happens, and record the conditions before you start rather than at the end. Six steps, and the second is the one that saves the argument.

  1. Confirm the visit against the contract

    Service type, season and the scheduled window. A storm response and a routine cut are judged differently, and the form should say which one this was.

  2. Record the conditions before you touch anything

    Weather, ground condition, whether irrigation is running, and any access or event restriction. Written on arrival this is evidence; written afterwards it reads as an excuse.

  3. Work zone by zone and mark each one

    Tick what was done, dash what was deliberately not, and leave nothing blank. A blank cell means nobody has said whether it happened.

  4. Write a condition note against each zone

    One line on what the area looks like. This is the entry that turns a service record into something a client and a supervisor can both act on.

  5. Log crew hours per zone, not just for the visit

    Hours attributed to areas are what an invoice is defended with, and what tells you which zone is quietly consuming the contract.

  6. Complete the seasonal rows and the chemical record

    Only the periodic tasks you actually did, then every product applied with its dilution, the area treated and the PPE worn. Close with the crew sign-off.

In practice the schedule tells you a hedge cut was due in September, and the work order proves it happened on the eleventh, to a line, with the arisings removed. A schedule with no visit records is an intention; visit records with no schedule cannot show that anything was missed.

When the template starts to feel limiting

A form handles one visit well. It handles a contract across a year badly, and the failure modes are consistent.

  • There is no version control

    Somebody adds a zone, prints a new sheet, and two versions of the same property are in use. Nothing tells you which visit used which zone list.

  • The seasonal calendar is not running

    A form records what happened. Nothing warns you that the autumn aeration is due in a fortnight, which is the only moment the schedule could still be met.

  • The chemical record cannot be searched

    Bound in a folder, an application record is compliant only in theory. The question an inspector asks is which products were applied to one area over two years, and that is a folder-by-folder search.

  • You cannot see the contract

    One form describes one visit. Which zone gets missed most often, and which property is consuming crew hours, exist only across visits.

What is a landscape work order?

It differs from a general maintenance work order in being organised by area rather than by asset. Grounds work is judged on how a place looks, and a place has parts.

What should a landscape work order include?

At minimum: a unique work order number, the date of visit, the contract reference, the property and site contact, the service type and season, the scheduled window, the conditions on arrival, a zone-by-zone service record with crew hours and a condition note, the seasonal tasks completed, the chemical application record, materials used, and the crew sign-off.

Why record conditions on arrival?

Because they are the difference between a task that was skipped and a task that could not be done. Saturated ground, frozen ground or an event on site are all legitimate reasons to defer work, but only if they were recorded at the time.

It also stops the argument later. A client asking why the beds were left in November gets an answer from the form rather than a recollection.

How should the zone record be marked?

Tick what was done, put a dash against what was deliberately not done, and leave nothing blank. The distinction matters: a dash is a decision, a blank is an unknown.

A zone with no ticks and no condition note is reliably the one the client will ask about.

Do I have to record chemical applications?

In most jurisdictions, yes. Pesticide and herbicide use on managed land is a required record rather than good practice, and it has to tie a product and an application rate to a specific area on a specific date.

What is the difference between a landscape work order and a seasonal grounds schedule?

The schedule is the plan for the year: which tasks happen, how often, and in which month. The work order is the evidence of one visit against that plan.
