The two seasonal start-ups are worth more than everything around them, and the reason is timing rather than content. A cooling start-up run in April finds the failed crankcase heater, the low charge and the blocked condenser while the building can still tolerate a day without cooling and while parts can be ordered normally. The same tasks run in July are not maintenance, they are a breakdown response with a checklist attached, carried out under pressure, at premium parts pricing, with an unhappy occupant. Exactly the same is true of a heating start-up done in November rather than September. The other section that repays attention far beyond its size is the consumable register. Filter and belt sizes are the most requested detail on any return visit and almost nobody records them, so a straightforward filter change becomes two journeys: one to measure and one to fit. Writing them down once, with part numbers, removes that permanently.

Nothing here failed, and two rows together say the unit is losing charge. Superheat rising across three consecutive visits while compressor amps climb and the temperature split narrows is the classic signature of a slow refrigerant loss, and no single reading in that pattern would trigger anything on its own. That is the entire argument for carrying readings forward rather than recording them fresh each time: a pass or fail against tolerance cannot see a direction of travel, and the direction is what gives you the months of warning. What happens next belongs elsewhere, which is worth being clear about. Leak testing and any refrigerant recovered or added is a legal record with cylinder details, and it is logged on the HVAC work order rather than here. This checklist's job is to notice, raise the corrective work order and hand over.

Set the unit up once, including how you reach it

Every deficiency with a severity and a corrective work order number, because one without a number will be found again next visit. Then task completion with a reason for anything incomplete, the condition the unit was left in, parts to order, and the date of the next seasonal visit.

Both are called a seasonal start-up and they share almost no tasks. Booking them as if they were interchangeable is how one of them ends up being done in the wrong month.

The asymmetry is worth naming: a late cooling start-up is expensive, and a late heating start-up can be dangerous. If the cooling circuit is short of charge you find out on the first hot day, in the form of complaints, an emergency call-out and parts at whatever price is available that week. Unpleasant and avoidable, but it is a comfort and cost failure. A heating start-up skipped or deferred is a different category, because several of its tasks exist specifically to catch conditions that produce carbon monoxide or an uncontrolled burn: a cracked heat exchanger, a blocked flue, a failed flame sensor, a safety limit that no longer trips. Those do not announce themselves through a comfort complaint. That is why the template keeps them as two distinct visits with two distinct task lists rather than one combined seasonal service, and why the close section asks you to name the date of the next seasonal visit before you leave this one.
