Photo Validator — User Guide

Overview

Photo Validator analyzes before-and-after photos attached to work orders and generates a completion score. The score appears in the Work Order Photos widget on the Summary page. Facility Managers and Admins use the score as a reference when making approval decisions. The feature does not replace the existing approval workflow.

Validation operates at two levels:

  • Widget-level — analyzes all photos attached to the work order
  • Task-level — analyzes before and after photos for individual tasks

Where to Find It

  1. Open the Work Orders module
  2. Select a work order
  3. On the Summary page, scroll to the Work Order Photos widget
  4. Use the filter control in the widget header to switch between widget-level and task-level validation

How to Use It

Uploading Photos

Photo Validator runs automatically once both photos are in place — there's nothing extra to do.

  1. Navigate to the work order in the Work Orders module
  2. Open the Work Order Photos widget on the Summary page
  3. Upload a before photo and an after photo
    • Photos must be in JPEG or PNG format
    • Both before and after photos are required — the AI analysis won't run until both are present
  4. For task-level validation, upload before and after photos to the individual task (not just the widget)
  5. Once both photos are uploaded, the AI analysis runs automatically — no additional action needed

Reviewing the Score

Once both photos are uploaded, the score appears in the widget automatically.

  1. Navigate to the work order in the Work Orders module
  2. Open the Work Order Photos widget on the Summary page
  3. Use the filter control (top-right of the widget header) to switch between:
    • Widget-level — scores all photos on the work order
    • Task-level — scores photos per individual task
  4. Review the AI score shown in the widget
  5. Click View Analysis to open the Detailed Visual Analysis window
    • Left panel: before and after photos displayed side-by-side
    • Right panel: AI scoring breakdown and insights
  6. Use the score as a reference point when approving or rejecting the work order through the standard approval workflow

The AI score is assistive — it does not automatically close or approve work orders. Final decisions always stay with the Facility Manager or Admin.


Real-World Example

A Facility Manager reviews a painting task within a work order:

  1. The Field Technician uploads a before photo (unpainted wall) and an after photo (painted wall) to the task
  2. Photo Validator automatically analyzes both images and generates a score
  3. The Facility Manager opens the Work Order Photos widget and switches to task-level validation
  4. The AI score appears, showing strong coverage and finish quality
  5. The Facility Manager clicks View Analysis to see the side-by-side breakdown
  6. Satisfied with the result, the Facility Manager approves the work order through the standard approval workflow

Limitations & Considerations

Both Photos RequiredBoth a before and after photo must be present — analysis does not run if only one photo is uploaded.

Score Is Calculated OnceThe AI score is calculated once at initial analysis — if photos are replaced afterwards, the score is not recalculated.
Score Does Not Override WorkflowThe score is assistive and does not override the approval workflow; managers retain full decision-making authority.
Feature-Level ControlPhoto Validator is enabled or disabled at the feature level by an administrator — it cannot be turned on or off per work order.
