## Web chat keys

Web Chat Keys keep your website widget secure, so only visitors your own website has signed in can open a chat. This is a one-time task for your web developer.

## Data sources

Data Sources brings records from the systems you already use into Facilio Helpdesk. Each **dataset** maps one module from a connected system into **Tickets** or **Technicians**. Today the live connector is **Facilio** (the Facilio CMMS).

### How to add a dataset

1. Go to **Settings › Data Sources** and click `New dataset`. On a new account, click `Add dataset` on the **Facilio** card instead.

*Fig. 60 — Choose what the records become in Helpdesk.*

3. Under **Data source**, choose **Facilio**. Atom checks your modules and lists the **Best matching modules**, ranked by how many fields each one can fill.

*Fig. 63 — The new dataset appears in your list, and records start syncing.*

### How to fix a dataset's field mapping

When Atom matches fields with less than full confidence, the dataset's card shows a note such as **2 to review**. Check those fields so the right values sync.

1. On **Settings › Data Sources**, click the dataset's card.

![Work Orders → Tickets has 2 to review, and 8 of 9 fields mapped.](https://facilio.com/help/helpdesk-guide/screens/how-edit-dataset-1-list.webp)
*Fig. 64 — **Work Orders → Tickets** has **2 to review**, and **8 of 9 fields mapped**.*

2. **Edit Dataset** opens. On the right, **Needs a look** lists the fields Atom matched on a partial name, each with a confidence score and the reason. **No match found** lists fields nothing was matched to. Use the chips at the top (**All**, **Needs a look**, **Unmapped**) to filter.

![Priority was matched to Urgency (72%) and Resource to Assigned To (64%).](https://facilio.com/help/helpdesk-guide/screens/how-edit-dataset-2-open.webp)
*Fig. 65 — **Priority** was matched to **Urgency** (72%) and **Resource** to **Assigned To** (64%).*

3. For each field, click the field on the left and pick the right one from the list. Search if the list is long. Your choice moves to **Set by you**, and matching won't change it again.

![Both fields are set by hand. Location is still unmapped and will stay empty until you pick a field for it.](https://facilio.com/help/helpdesk-guide/screens/how-edit-dataset-3-fixed.webp)
*Fig. 66 — Both fields are set by hand. **Location** is still unmapped and will stay empty until you pick a field for it.*

4. Click `Save`. **Dataset updated successfully** confirms it, and the **to review** note disappears from the card.

![The card no longer needs a review.](https://facilio.com/help/helpdesk-guide/screens/how-edit-dataset-4-saved.webp)
*Fig. 67 — The card no longer needs a review.*

> **Sync into**, **Data source** and **Module** can't be changed on an existing dataset. To sync a different module, add a new dataset.

### How to remove a dataset

1. On **Settings › Data Sources**, open the **⋯** menu on the dataset's card and choose `Delete dataset`.

![The dataset's ⋯ menu.](https://facilio.com/help/helpdesk-guide/screens/how-delete-dataset-1-menu.webp)
*Fig. 68 — The dataset's **⋯** menu.*

2. **Delete this dataset?** explains what happens: syncing stops, and records that have already synced stay in Helpdesk. Click `Delete`.

*Fig. 69 — Confirm to stop the sync.*

### How to ask for another system

Facilio is connected today. Other systems, such as CMMS, ERP and property-management tools, are available on request.

1. On **Settings › Data Sources**, click `Add a system`. **Systems** lists every system you can connect. Search at the top right.

![Facilio is Active. The others are Available on request.](https://facilio.com/help/helpdesk-guide/screens/how-request-system-1-systems.webp)
*Fig. 70 — **Facilio** is **Active**. The others are **Available on request**.*

2. Click `Request access` on the system you use. If it isn't listed, use the **Don't see your system?** card at the end.
3. Under **Tell us about your setup**, say which system you use and which data should sync, then click `Send Request`.

## Webhooks

A webhook runs an action in one of your connected apps the moment something happens in the helpdesk. For example, every new ticket can raise a work order in Facilio. You don't fill in a form: you describe the rule to Atom in one line, and Atom builds the trigger, the action and the code that runs it.

Each webhook has three parts:

| Part | What it decides | Example |
| --- | --- | --- |
| **When it runs** | The events that set the rule off | Ticket created, in Tickets |
| **What it does** | The action it runs, and in which connected app | Create work order, on Facilio |
| **What it sends** | Where each of the action's inputs gets its value | `site` comes from **Tickets › Site** |

Rules can start from tickets, calls, chats, emails, feedback or technicians. An input's value can be **Agent decides** (the agent works it out from the conversation), a ticket field such as **Tickets › Priority**, or a fixed value.

### How to add a webhook

1. Go to **Settings › Webhooks**. Each existing webhook is a card that shows its app, its trigger and whether it's **Active**.

2. Click `Add Webhook`. The **New Webhook** dialog opens: you chat with Atom on the left, and the rule builds itself on the right.

*Fig. 75 — Describe what should happen and Atom builds the trigger, action and inputs.*

3. In **Describe your webhook…**, write what should happen, in plain words. Name the event and the app, for example *"When a new ticket is created, raise a work order in Facilio with the ticket's site and priority."*

4. Press Enter. Atom starts drafting: you'll see it choose the trigger, pick the action and map the inputs.

5. Atom replies in the chat and fills in the rule. It then writes and deploys the code that runs it. This takes about half a minute.

6. Check the rule on the right: **When it runs**, **What it does** and **What it sends**. To change any part, click it, or click one of the **Ask a follow-up** chips such as `Also on assign`. The change goes into the chat box, and you press Enter to send it to Atom.

7. Click `Add webhook`. The new webhook appears as a card and starts running straight away.

> If the save button stays greyed out, the line next to it says what's missing, for example **No action yet** or **site has no value**. Tell Atom in the chat and it will finish the rule. Only apps that are connected to your helpdesk can be used.

### How to test a webhook

1. Click the webhook's card. The **Edit Webhook** dialog opens with the rule on the right and **Recent runs** at the bottom.

*Fig. 81 — The rule as Atom summarised it, with its recent runs underneath.*

2. Click `Run test`. The rule runs once, and the result is added to **Recent runs** as a **Test** run.
3. Click a run to open it. **Inputs sent** shows each value and where it came from, and **Response** shows what the app sent back.

> To change a webhook, type the change into **Tell Atom what to change…** in the same dialog, then click `Save`.

### How to pause, view or delete a webhook

1. Open the **⋯** menu on the webhook's card.

3. Choose `Pause` to stop the webhook without deleting it. The card shows **Paused** until you choose `Resume`.

4. Choose `Delete` and confirm with `Delete`. The webhook stops running. The connected app itself isn't touched.
